Brief Description:
The Overtime Request service allows all eligible employees to request additional work hours.
Input fields include the number of hours, number of days, and department number.
The system applies varying calculation logic based on normal months, official vacations,
and specific conditions for the President's Office, with maximum accepted hours contingent
on the type of month and employee status. The approval process follows a hierarchy, starting
from the direct manager and progressing to the first level under the president.
Procedure:
Employees initiate the Overtime Request by providing key details such as the number of hours, days,
and department number. The system's intelligent calculation logic distinguishes between normal
months and official vacations, adjusting the maximum accepted hours accordingly.
Special considerations apply for the President's Office. The hourly rate calculation also varies
based on different employee types. Following submission, the request undergoes an approval
workflow starting with the direct manager and advancing to the first level under the president.
To ensure fiscal responsibility, departments must have a predefined budget, and the system
restricts request amounts to the remaining budget balance. Secretaries have the capability
to input overtime requests for multiple employees in a single submission, streamlining
the process. Additionally, there's an eligibility control for submission time, preventing
the entry of previous overtime requests.
Remarks:
Brief Description:
The Overtime Claim service is available to all eligible employees who wish to submit claims for
previously approved overtime requests. To ensure accuracy, the system allows the submission of
claims only for requests that have been approved. Employees can adjust the claimed hours or days,
with a provision to reduce but not increase them, subject to approval from either the requested
manager or the line manager. The approval process involves the line manager, and upon approval,
it proceeds to the Payroll Manager for further processing.
Procedure:
Employees initiate an Overtime Claim by submitting details for previously approved requests.
The system restricts claim submissions to approved requests only, ensuring data accuracy.
Users can adjust the claimed hours or days; however, any changes made require approval, either
from the initially requested manager or the line manager. This flexibility allows for reductions
but not increases in the claimed hours or days. The approval process begins with the line manager,
who reviews and approves the claim. Subsequently, the claim advances to the Payroll Manager
for final processing.

The Employee Loan Letter service is designed for all eligible employees seeking a loan.
Upon reading and acknowledging the "Authorization Valid For Loan" terms on the page,
the employee clicks submit. Subsequently, a PDF is dynamically generated for the employee,
and in the background, the Loan flag in the Payment Method is activated. This service is
eligible for all employees; however, the loan request can only be submitted if the Loan flag
in the Payment method is not already checked. If the flag remains unchanged after submission,
the system displays the previously generated PDF.
Procedure:
Employees initiate the Employee Loan Letter request by reading and accepting the "Authorization
Valid For Loan" terms. Upon clicking submit, a personalized PDF is generated for the employee,
and concurrently, the Loan flag in the Payment Method is activated. Notably, the eligibility to
submit a loan request is contingent upon the Loan flag not being checked initially. If, after
submission, the flag remains unchanged, the system displays the previously generated PDF.

The Committee service, available for Committee Secretaries and Committee Chairmen, facilitates
the management of committee-related activities. Essential inputs include the duration of the
committee (1 Year), Committee Number - Name, Meeting Date, Meeting Time
(Within working hours / Out working hours - AM/PM), and Meeting Serial.
Committees must be predefined with crucial information, including number, name, ceiling balance
amount, within working hours amount, and out working hours amount. Committee members, each with
their designated roles, need to be defined. The Committee Secretary/Chairman enters meeting
details and attended members, with the meeting amount deducted from the member's ceiling balance.
Eligibility for committee participation is open to all employees (but they must be added as members).
The approval workflow begins with the chairman and proceeds to the Payroll Director for final approval.
Procedure:
Committee Secretaries or Chairmen initiate the Committee service by providing details such as
committee duration, number, name, meeting date, and time. Predefined committees and member roles
ensure accuracy. The Secretary/Chairman inputs meeting details, including attended members.
The system automatically deducts the meeting amount based on the meeting time from the member's
ceiling balance. The service is open to all employees eligible for committee participation.
The approval workflow commences with the chairman, then progresses to the Payroll Director for
final approval.
